Property Management NewsOur Property Management department uses a software called PropertyWare, which is a cloud-based application, a leading industry standard.
Owners have a portal by which they may view their account in "real time", allow for electronic bank deposits of their income, view all documents that may be pertinent to their property such as new leases, see if long term rent is paid for the month, view pending work orders, and invoices. No more waiting for a check in the mail! The monthly statements are posted to the owners' account by the 20th of each month. Accompanying documents may be viewed, printed out at home, or saved to a folder on the owner's computer. Long term tenants also have a portal and can pay their rent online by ACH or credit card. They also may submit maintenance requests and even send messages to the management department. All this is convenient but even more importantly allows for 100% transparency in our accounting and management department. Since the system is "in the cloud" your property manager(s) can log in to work from anywhere at any time when necessary. Property management is never a "9 to 5" job Monday through Friday! Our agents are always available for trouble calls, emergencies, etc. during off hours. We like to keep in close contact with you, the owner, to insure that your property is being handled according to your specifications, and that you are fully aware of the status of any given situation. LONG TERM RENTALS Regarding the management of your long-term property, we do a careful screening of tenants using the services of a licensed and professional credit reporting business to run a credit report on all prospective tenants. We check with their last two landlords to determine whether they caused any problems, how they paid their rent and if they kept and left the place in good condition. We verify income and employment and, if they are self-employed, we require two years of tax returns. Special attention is given to Fair Housing and Landlord/Tenant laws. Thorough inspections are conducted before a tenant takes occupancy, every six months during the lease and immediately after the tenant vacates. With each inspection, we prepare a written report for your property file and numerous photos are taken during inspections. When a new tenant is selected for your property, he or she receives a current inspection report so that when he or she moves out, this careful documentation helps us identify any damage not due to normal wear and tear, which we charge to the tenant. Our policy regarding cleaning is that the property be left in a spotless condition including windows, screens, outdoor storage, etc. For a personal, detailed appointment concerning property management please call our office and we will be happy to answer all of your questions as well as reviewing our standard property management contract with you.
